Office Secretary
Responsibilities:
• Receive and transfer Telephone calls, Take note of callers' name, phone number and message if any, to inform absent personnel from the office.
Prepare and manage Letters, internal formularies, packages, delivery services (National and international), etc…To maintain a record of every letter, package and delivery services;
• Keep a record of every guest visit (customer, supplier, new employee, visitor, etc…) Ask for the official ID of the visitor and exchange it with a ZTE visitor ID.
• Inform to the indicated ZTE personnel of the visitor presence by phone, Offer refreshment to customer and visitors when required prior to a meeting.
• Collecting and recording holiday, attendance and sickness forms and provide administrative
• ordering and maintenance of all office equipment and supplies;
• travel and luncheon arrangements;
• Provide comprehensive administrative support to the business development and whole teams wherever possible.
Essential Skills and Experience
• 1 year + experience in administration or office management
• Good experience of working in a cross cultural office environment
• Excellent verbal communication skills.
• Strong organizational and co-ordination skills
• Able to operate under pressure, Highly flexible
• Experience in the telecommunications industry would be desirable, but not essential.
• Self motivated and able to take responsibility.
• Organized and effective time manager, able to deliver work on time to a consistently high standard
• Good interpersonal skills in terms of influencing, negotiating and listening
• The job may require considerable liaison throughout ZTE Corporation.
